Ama Upasthan (“we”, “our”, or “us”) operates the Ama Upasthan mobile application (the “App”). This Privacy Policy explains how we collect, use, store, and protect user information when you use our App.

Mobile Number and OTP Authentication

We collect your mobile number to authenticate users through a One-Time Password (OTP). OTPs are used solely for verification and are not stored after successful login.

Attendance Data

The App collects attendance-related information, including:

Calendar Information

Attendance records and official holidays are displayed in a calendar view to help users track daily attendance, working hours, and holidays.

Facial Image Data (One-Time Registration)

The Ama Upasthan App captures a facial image only onceduring the user’s face registration process for identity verification purposes.

The captured facial image is immediately converted into a secure, encrypted format and stored safely on our servers. The original image is not repeatedly captured during daily usage.

During attendance check-in and check-out, the system compares the live camera input with the previously stored encrypted facial data to verify the user’s identity.

Facial data is used strictly for attendance verification and is not shared, sold, or used for any other purpose.

Device Information

We may collect limited device information such as device model, operating system version, and app version for security and performance improvements.

We implement strong technical and organizational security measures, including encryption of sensitive data such as facial information, secure servers, access controls, and encrypted communication channels. Access to user data is strictly limited to authorized systems only.

7. Children’s Privacy

Ama Upasthan is not intended for users under the age of 13. We do not knowingly collect personal information from children.

8. Retention of Facial Data

Facial images captured during registration and attendance are used only for real-time identity verification and liveness detection. Raw facial images are not stored permanently.

An encrypted facial embedding (biometric template) is stored securely only for the duration of the employee’s active service for the purpose of attendance authentication and fraud prevention. This data is retained until the employee resigns, retires, or their account is deactivated by the authorized government department, after which the facial data is permanently deleted from all systems in accordance with government data retention policies.

Reason for Retention Period

Facial biometric data is retained solely to enable ongoing identity verification for attendance during the period of authorized employment. Retaining this data is necessary to prevent proxy attendance and ensure secure authentication. The data is not retained beyond the user’s employment lifecycle.
